JOB DESCRIPTION

Position Summary:

Carboline is seeking an Administrative Assistant to work out of their RD&I Facility in St. Louis, MO. This person will report into the VP of Global Research and Development and will be responsible for performing administrative task for the VP and other Lab Managers at that location. Essential duties include managing calendars, preparing reports, sorting mail, ordering office and safety supplies, updating spreadsheets/reports, answering phone calls, greeting visitors and other various projects.

Requirements:

High School Diploma or equivalent. Experience with Microsoft Office and minimum of 5+ years' experience providing professional administrative support

Essential Functions:

  • Analyze, establish priorities, and execute administrative duties as required by several principals in a department; request and direct support help as required.
  • Collect, compile, and distribute monthly R&D project updates to U.S. and international affiliates in a timely manner.
  • Maintain status and disposition of projects assigned to others; prepare requests, perform mathematical calculations on bi-weekly project time sheets and assemble data for special assignments.
  • Receive requests for formulas for international affiliates. Circulate new requests for proper approvals. Maintain and update formula log and distribute monthly. Update and distribute formulas as indicated by edocs. Distribute raw material listing to Affiliates and JVs (?) monthly.
  • Maintain RD&I building calendar; make appointments and receive telephone calls; relay messages or transfer calls as required; furnish routine information; receive and screen visitors
  • Compile information, prepare reports; update mailing lists; maintain files and records; order operating supplies; responsible for purchase orders and receiving packing slips and invoices coding them for approval and sending for payment
  • Open and sort incoming mail; supply related correspondence from files; direct attention to mail of an urgent nature; distribute mail to others for action as directed.
  • Type material of a responsible and confidential nature such as letters, contracts and reports; draft routine correspondence for supervisor's approval and signature.
  • Update and maintain computerized and manual files and logs related to various department programs; prepare periodic reports from these files; supply related information and documents to other departments as required.
  • Coordinate arrangements for schools, meetings, and other major programs for department.
  • Review correspondence, memoranda and reports prepared by others for supervisor's signature to assure procedural and typographical accuracy.
  • Provide administrative support to Carboline outside consultants as requested by the VP of R&D.
  • Track and monitor key outside projects (expense control).
  • Track and monitor all capital expenditure projects.
