About the job: Processes and produces the work necessary for efficient operation of the Executive Office while interacting with the visiting public, residents, resident families and staff of the community. Provides executive-level assistance to the Senior Executive Director and Associate Executive Director. Responsible for project and process management as directed by the Executive Directors.

Required Qualifications:
  • High school diploma or general education degree (GED) required.
  • One to three years related experience and/or training; or equivalent combination of education and experience in an executive office setting highly desired.
  • At least one year of supervisory experience, including hiring, training, developing, evaluating and counseling staff.
Preferred Qualifications:
  • Associate's degree preferred.
Essential Functions:
  • Participate in community hospitality and customer service initiatives.
  • Attend management education training sessions.
  • Make recommendations for streamlining processes to improve community operations and the efficient functioning of the Executive Office.
  • Organize and maintain administrative, legal, and contract files, draft and prepare correspondence for signatures.
  • Manages calendars for the Executive Leadership team. Greets scheduled visitors and directs to appropriate area or person.
  • Arranges and coordinates travel schedules and reservations.
  • Coordinate and arranges meetings, prepares agendas, reserves and prepares facilities, and records and transcribes minutes of meetings.
  • Facilitate meetings as needed.
  • Coordinate information necessary for Administration, Corporate, Legal, and other entities as defined.
  • Works closely with Concierge and serves as back-up management of Concierge associates and services in the absence of the Resident Director.
  • Manage policies and procedures.
  • Performs other duties as assigned by the Supervisor.
