Role overview

The Office Specialist, reporting to Manager, Facilities, is responsible for for providing office services by implementing administrative systems, procedures, policies, and manages the day-to-day work that keeps the office running efficiently.

In this position, you will also handle administrative duties & requests, directly supporting leadership team members.

A day in the life...

• Maintains administrative workflow by studying methods; implementing cost reductions; developing reporting procedures to ensure maximum efficiencies

• Upholds rapport with customers, managers, and employees by arranging continuing contacts; researching and developing new services and methods; setting priorities; and resolving problem situations

• Provides information to stakeholders (employees and senior leadership) by answering questions and requests in a timely fashion

• High level calendar management skills, to assist Coordinator with conference room scheduling as needed

• Assist with onboarding of new employees by providing tours and procedural training

• Demonstrated ability to maintain confidential and sensitive data

• Primary point of contact for contracted facilities vendors and monitoring PHI compliance

• Maintains and monitors service contracts, inspection, maintenance and other facility-related logs, including building and facility systems and services, and office equipment

• Assists with office moves and reconfiguration projects (in close coordination with Onboarding Manager, Facility Manager and IT)

• Monitors routine facility maintenance including: janitorial, document shredding, HVAC adjustments, parking validation, etc

• Work with Coordinator to manage missing temp badge issues

• EE Photo's - takes picture, uploads to PM for ID badge to be prepared

• Assists with shipping tasks: Term'd EE's belongings (providing home address to Coordinator while keeping maintaining confidentiality)

• General office experience; operating at a proficient level

• Management experience; project management or related duties

• High level calendar management skills

• Demonstrated ability to maintain confidential and sensitive data

• Attention to detail

• Highly organized and able to prioritize work and tasks
