The School of Communication has an exciting opportunity for a full-time Director, Business Operations to work in Coral Gables, FL.

The Director of Business Operations evaluates, administers, and directs business administrative matters including budget, operations, and personnel administration for School of Communication. This position works with all areas of the School as well as liaise with UM departments outside of the school.

Core Job Functions


  • Directs, implements, coordinates, plans, and evaluates, the business operations for the school which may include managerial reporting, budget support, capital planning, and process improvement.

  • Develops and ensures adherence to school's annual budget, in accordance with University guidelines and policies. Participates in financial analysis and planning including monitoring and reporting on monthly budget variances and opportunities to improve performance.

  • Formulates school policies and guidelines to carry out the University and school mission.

  • Oversees the review, approval, and reporting of all revenues and expenditures. Reviews and approves financial transactions.

  • Monitors contractual obligations and ensures consistency with divisional budget, goals, and programmatic initiatives.

  • Evaluates existing internal controls and approval processes, makes recommendations on how to improve fiscal integrity and operational efficiency.

  • Implements school human resource actions, which may include hiring, terminations, salary, and other.

  • Establishes and continuously assesses the effectiveness of the internal controls within the school and compliance with University policies and procedures. Ensures employees are trained on controls within the function and on University policy and procedures.

  • Serves as point of contact for Senior Program Coordinators, assists Sr. Program Coordinators with daily inquiries regarding UM financial systems and navigation of accounting structure and policies and procedures.

  • Maintains expert user status in system.

  • Manages robust onboarding program for all new hires.

  • Works closely with Sponsored Programs Manager to ensure proper management of programs and assists with administrative items.

  • Manages month end and fiscal year end closing and accounting processes.

Core Qualifications

Education:

Bachelor's degree in relevant field. Master's degree preferred.

Experience:

Five years of progressively responsible managerial experience (including financial and operations experience) required, preferable in an academic or research environment.

Knowledge, Skills, and Attitudes:

  • Ability to work in a complex environment with the skills to manage multiple projects and deadlines.

  • Ability to communicate effectively in both oral and written form.

  • Ability to present business information to faculty and senior administrators in a manner easily understood by non-financial professionals.

  • A team player able to work in a fast-paced environment.

  • Ability to maintain effective interpersonal relationships.

  • Ability to manage a budget and work within the constraints of that budget.

  • Ability to direct, manage, implement, and evaluate operations.

  • Ability to effectively plan, delegate, and supervise the work of others.

  • Proficiency in computer software, Microsoft Office and others.
