This position could primarily be remote, but proximity to an Elevance Health major office (pulse point) is a plus. Elevance Health supports a hybrid workplace model with pulse point sites used for collaboration, community, and connection.

The Executive Admin Assistant 1 is responsible for reporting/supporting Vice President of Tax, Vice President of Corporate Enterprise and their Staff VPs and associates; VP of Finance-CAO/Enterprise; Staff VP of External Financial Reporting and associates; Staff VP of Financial Planning & Strategy, and back-up Assistant to SVP's and other VP's.

How You Will Make an Impact

Primary duties may include, but are not limited to:

  • Screens, handles or distributes incoming phone calls and complaints.
  • Maintains confidential correspondence and general files.
  • Orders supplies. Prepares and tracks budgets.
  • Coordinates travel plans. Submits expense reports.
  • Compiles and distributes meeting minutes.
  • Compiles information for reports, documents and proposals.
  • Collates and assembles materials, makes arrangements for meetings/presentations.
  • Organizes chart up-dates.
  • Prepares forms and reviews documentation for conformance with internal policies and procedures.
  • Utilizes various software packages such as spreadsheet, word processing, data base and graphics to produce high quality reports, presentations and documents.
  • Researches, verifies and prepares reports.
  • Creates and maintains databases.
  • Substantial interaction with internal associates/executives and external clients
  • Plan/schedule/organize in-person meetings for supported departments
  • Schedule meetings and book rooms as requested and follow-up for same in a timely manner
  • Point of contact for departmental associates regarding procedures, "how to" and other processes
  • On-board new associates/interns
  • Prepare/review/submit expense reports, training pre-approvals, time entry/PTO requests, ensuring internal policies and procedures are followed
  • Assist in coordination of Department of Insurance and IRS/Department of Revenue examinations
  • Order and maintain necessary mailing supplies for Tax Department
  • Various miscellaneous tasks related to departments as requested
Minimum Requirements:

Requires a HS diploma and a minimum of 5+ years administrative experience; or any combination of education and experience which would provide an equivalent background.

Preferred Skills, Capabilities and Experiences:
  • Proactive and able to assess needs, prioritize tasks, determine urgency and move things forward with little to no guidance
  • Ability to multi-task with flexibility
  • Strong organizational skills and attention to detail
  • Work in a fast-paced environment and able to meet deadlines
  • Strong communication skills and ability to maintain tact, discretion and sensitivity with confidential matters
  • Various software skills including but not limited to Excel, Word, PowerPoint, Sharepoint/Apps, Databases, etc.
  • Notary certification is preferred
  • Event Planning experience is preferred
