Caterpillar Inc. is seeking an Executive Assistant (internally known as an Administrative Assistant) to provide support to the Vice President of Engineering. The ideal candidate will be highly organized, detail-oriented, and capable of managing complex schedules and tasks efficiently. This role involves extensive international and domestic scheduling, visa coordination, and expense book reconsolidation as well as maintaining professionalism and confidentiality.

What You Will Do:

  • Conduct research, compile data, and analyze information for meetings, presentations, and ad-hoc projects, take minutes, and follow up on action items as necessary, ensuring that decisions and tasks are documented and executed promptly, maintaining confidentiality and professionalism.
  • Efficiently manage the scheduling of the Vice Presidents, including arranging meetings, appointments, and travel arrangements.
  • Create visually engaging and informative PowerPoint presentations for various business purposes.
  • Assist in preparing materials and documents for presentations and meetings, ensuring accuracy and professionalism.
  • Organize and coordinate executive outreach efforts, manage sensitive matters with confidentiality, and ensure the smooth operation of daily activities.
  • Coordinate logistics for company events, including venue bookings, catering, and attendee management.
  • Serve as a primary point of contact for visa coordination and document management for international trips, ensuring compliance with relevant regulations and guidelines.
  • Reconcile and consolidate expense reports, ensuring accuracy and adherence to company policies and procedures.
  • Perform additional duties as assigned, demonstrating a willingness to stay updated on the latest administrative methods and technology.
What You Have (Basic Qualifications):
  • Accuracy and Attention to Details: This role requires meticulous attention to detail to ensure schedules, presentations, and documents are error-free and professional.
  • Managing Multiple Priorities: The ability to prioritize tasks and manage multiple responsibilities efficiently is essential in coordinating schedules, events, and travel arrangements for multiple executives.
  • Office Administration: Strong office administration skills are necessary for effectively organizing meetings, maintaining calendars, and managing confidential documents. Proficiency in Microsoft office applications, particularly in Outlook, Teams, and PowerPoint.
  • Flexibility & Adaptability: Candidate must be able to adapt to changing priorities, schedules, and requirements in a fast-paced corporate environment.
  • Effective Communication: Clear and concise communication skills are essential for coordinating with executives, colleagues, and external stakeholders. Ability to handle sensitive information with discretion.
