Your new role
Are you a detailed orientated multitasker who can work well under pressure? Are you organized and a quick learner? UBS is looking for an Executive Assistant / Team Assistant who can:

• manage and maintain calendars, schedule meetings using various technologies, and resolve scheduling conflicts for both internal and external meetings across multiple time zones
• collaborate with other teams / assistants from multiple divisions across UBS and ensure forward planning for meetings, events, and deliverables
• support multiple executives with various administrative tasks - print, collection of mail / packages
• coordinate travel, complete TRACT forms, book flights & ground transportation, follow any COVID related policies and schedule overseas meeting schedule
• completion of Visas
• complete business expense claims promptly following the UBS expense policy
• assistance with preparation of PowerPoint presentations and other documents

Key Responsibilities

• Administrative organization and coordination of meetings
• Administers filing systems both manually and electronically
• Performs and coordinates routine and/or specialized work
• Manages incoming mail and calls
• Coordinates other assistants and clerical staff

Key Deliverables

• Reports, presentations, and external/internal correspondence
• Organizational services and support including the ordering of supplies and equipment, organization of travel arrangements and telephone and visitor screening,
• Payroll for staff eligible for overtime and overtime reports
  • Requires excellent organizational skills and the ability to manage multiple tasks simultaneously.

What you'll need to succeed

• demonstrate proficiency in Microsoft Office (Outlook, Teams, Word, PowerPoint & Excel)
• strong organization skills, with an innate sense of how to prioritize in a fast-paced work environment
• efficient, proactive, resourceful
• strong verbal communicator, confident conversing with both peers and leadership
• must be able to multitask and manage competing tasks / demands efficiently and can meet deadlines in a quickly changing environment
