NIMAA is an affiliate of the Weitzman Institute, a premier research institute focused on improving health care and health outcomes for special and vulnerable populations. NIMAA is an accredited post-secondary school that offers Medical Assistant (MA) training across the country.

Our goal is to prepare MAs to participate effectively in high-functioning, team-based primary care settings. NIMAA provides students an effective and low-cost educational program that introduces them to the exciting world of health, and paves the way to a career in primary health care. NIMAA's distance education (online) learning program is offered in multiple states and we partner with primary care clinics for in-clinic externship experience during the 8-month training program

Job Summary - Externship Organization Specialist

A critical element to our successful MA training program lies in the partnerships with externship organizations. NIMAA is seeking a dynamic and personable Externship Organization (EO) Specialist to work closely with other NIMAA staff on implementing the overall day-to-day management to support our externship organizations, while monitoring the quality assurance related to that support, such as onboarding them to NIMAA's systems and processes, supporting them in the recruitment of students, and managing relationships with them during ongoing cohorts. The EO Specialist actively coordinates with NIMAA's instructional and student services teams to ensure a successful experience for NIMAA students and clinical partners.

The EO Specialist must exhibit excellent independent judgement, the ability to identify challenges and seek clarification from other staff, excellent cross-team collaboration, and a commitment to upholding NIMAA's high standards with respect to internal operations and external customer service. This position interfaces professionally with current students, community agencies and partners, representatives of NIMAA's parent company, and NIMAA team members. Excellent oral and written communication skills are required, including excellent listening skills and ability to proof read and edit documents for grammar, spelling, and clarity.

A successful candidate is highly organized, self-directed, adept at prioritizing and carrying out multiple priorities with competing timelines, has experience working collaboratively in geographically dispersed cross-functional teams, is highly skilled with business technology, and is passionate about NIMAA's mission and commitment to justice, equity, diversity, and inclusion.

SIGNIFICANT JOB RESPONSIBILITIES

  • Establish and maintain positive relationships with partner EOs through ongoing communications and connections with their organization.
  • Maintain accurate, complete and timely records of Externship Organization communications and interactions utilizing NIMAA's tracking systems.
  • Assist the Director of Business Partnership and Development in the logistics of bringing on new EO partners, including organization informational sessions, updating and refining professional presentations, and coordinating the signing of agreements.
  • Oversee onboarding of Externship Organizations, including organizing the complex and multi-step process whereby new and existing Externship Organizations get prepared for hosting students for their externship, training Externship Organization staff to implement the program, and reminding and tracking progress on required onboarding tasks.
  • Provide support in maintaining the day-to-day relationships with Externship Organizations, including troubleshooting challenges, identifying opportunities for improvement, creating best practices documents, leading regular meetings with EOs.
  • Identify operational and programmatic challenges, and work with appropriate team members to address them.
  • Support the Business Manager in scaling operations for Externship Organizations through project planning and implementation of new processes.
  • Proof read and edit documents for grammar, spelling, conciseness, and clarity.
  • Ability to effectively explain the NIMAA educational model to clinical partners, specifically all aspects of the clinical experience.
  • Understand the issues and concerns of externship organizations that affect NIMAA's success with them and ensure rapid and appropriate response to them.
  • Other duties as assigned.

QUALIFICATIONS
  • Associate's degree required
  • Medical Assistant Certification and experience preferred
  • Impeccable attention to detail
  • Highly organized
  • Experience managing projects and complex tasks
  • Proven project management skills including ability to manage multiple projects simultaneously
  • Self-motivated, pro-active, positive and independent and collaborative worker
  • Professional responsiveness and adaptability to rapid change
  • Strong technical aptitude with business software, including working knowledge of Microsoft Excel, Outlook, Teams, PowerPoint, Zoom
  • 2-3 years of work experience in a professional setting
