The Carver College of Medicine, University of Iowa Physicians (UIP) is looking for a Program Coordinator to serve as the leader for the Physician Recruitment Ambassador Program. This program provides centralized coordination of recruitment efforts primarily for clinical faculty and other designated programs at University of Iowa Health Care. This individual is a point person in developing networks and recruiting strategy for designated clinical departments. They will develop and manage relationships with external institutions, professional organizations, and communities to develop a pipeline of candidates to University of Iowa Health Care. Utilizing a team-oriented approach, the Program Coordinator collaborates with departments to assess recruitment efforts and ensure candidates have a positive recruitment experience. The coordinator will participate in developing and executing marketing campaigns and source candidates through a variety of networking methods and liaison with search firms. They must be collegial and collaborative while working with multiple departments and searches simultaneously. This position is eligible for a hybrid work structure within Iowa with the majority of work taking place on the University of Iowa campus.

Duties to include:

Operational and Financial Management

Recruitment Consultant to Departments

Review and evaluate current processes and practices to recruit and hire clinical faculty candidates to University of Iowa Health Care. Identify challenges, recruitment goals and assist in developing a roadmap to meet those goals.

Partner with the CCOM Office of Faculty Affairs and Development (OFAD) and the Clinical Staffing Office (CSO) to review internal processes and identify potential solutions to improve efficiencies and reduce process time.

Partner with hiring departments or programs to assess talent requirements and recommend sourcing strategies to comply with Affirmative Action guidelines to achieve a qualified and diverse talent pool.

With hiring department, coordinate recruitment/outreach events, planning, and programming related to clinical faculty recruitment and retention.

Collaborate with department or program staff and hiring managers to develop on-site campus itineraries that include meeting with community members and learning about community resources and organizations.

As requested, assist search committees in screening applications and resumes, conducting phone screens, or making recommendations to hiring managers.

Financial Management

Develop the Ambassador Program annual budget for review and approval. Identify and prioritize budget and resource needs.

Monitor accounts and expenditures; authorize payments and reconcile financial statements.

Communication and Outreach

Relationship Building

Develop and maintain positive relationships with key internal and external stakeholders, candidates, and organizations. Every contact can be a potential candidate, referral and/or future resource.

Network and manage relationships with external institutions, UI campus and community members/organizations to enhance recruitment and retention strategies for clinical faculty members.

Marketing

Develop and implement networking strategies for each search.

Liaison with search firms involved with identifying candidates.

Utilize a variety of tools/techniques (e.g., social media, advertising, direct contact, job fairs, and community outreach) to drive employer branding and recruitment marketing campaigns and events.

Partner with UI Health Care Marketing & Communications (MARCOM) to prepare internal/external advertisements and ensure all communications comply with employer branding.

Provide guidance to departments on inclusive language for communications and networking with and recruiting candidates. Ensure use of inclusive and non-discriminatory language in all recruitment materials including written and electronic

Sourcing Candidates

Maintain positive first impressions with candidates and maintain contact throughout the search process.

Develop new and enhanced strategies to source, network with, and engage individuals from under-represented populations.

Identify and evaluate a qualified and diverse pool of candidates through a variety of research methods including but not limited to online research, searching publicly available information, and conducting reference calls/interviews. Using this information, develop a profile of prospective candidates.

Build and maintain a data base of previous and current candidates, list of organizations and contacts from networking activities or previous searches to use in future searches.

Strategic Planning

Serve as liaison to UI Health Care departments and administrative units regarding the development and implementation of the strategic recruitment plan/roadmap.

Compliance

Assure compliance with all federal, state., and university regulations throughout the recruitment/hiring process.

Quality Improvement (and Data Metrics)

In collaboration with health care and UIP leadership, identify metrics to track program effectiveness and success.

Analyze data and formulate recommendations to improve program results and effectiveness.

Assemble and track recruitment and retention metrics.

Run and distribute reports, monitor compliance, and gather information regarding compliance activities or issues.

Leadership/Supervision

May provide functional and/or administrative supervision of staff. Provide direction, assignments, feedback, coaching and counseling to assure outcomes are achieved.

May hire, develop and manage the performance of staff, assure staff is compliant with UI policies and procedures.

Required Qualifications:

A bachelor's degree or an equivalent combination of education and experience.

Minimum one year of progressively responsible program development work experience.

Exceptional communication skills (verbal, written, listening) with ability to quickly gain the trust of and build rapport with people.

Ability to collaborate and engage multiple stakeholders and community members.

Ability to function in a fast-paced environment with multiple stakeholders.

Outstanding organization skills and a high attention to detail and standards.

Must be proficient in Microsoft Office applications.

Valid U.S. driver's license and ability to meet UI Risk Management driving requirements.

Requires occasional attendance at meetings, functions, or events outside of normal working hours.

Desirable Qualifications:

Work experience in higher education or academic medicine.

An understanding of health care and physician dynamics of a health care system.

Familiarity with employment laws, particularly those involving recruitment.

Familiarity with search engines, web browsers, and data bases.

Previous experience in marketing or sales.

Knowledgeable of campus groups, community resources, and networking organizations.

Hybrid within Iowa: This position is eligible for hybrid work within Iowa and will require a work arrangement form to be completed upon the start of your employment. Per policy, work arrangements will be reviewed annually, and must comply with the remote work program and related policies and employee travel policy when working at a remote location.
