The School of Nursing and Health Studies' (SONHS) Office of Student Services (OSS) has an exciting opportunity for a full-time Program Coordinator to work at the Coral Gables Campus.

The Program Coordinator reports to the Sr. Database Analyst and ensures that all SONHS students remain up-to-date and compliant on their clinical clearance information. The Program Coordinator works closely with SONHS and University personnel to sustain school-wide growth and long-term operational excellence by proactively monitoring Complio for compliance issues, reaching out to students to address potential compliance issues, taking actions to prevent non-compliant students from attending classes and/or clinicals, and liaising with other constituents to provide quick, accurate, and consistent compliance information. The Program Coordinator also works through all SONHS clinical attestations, serves as one of the School's main developers of the Degree Progress Report (DPR), and acts as a backup to the undergraduate Program Coordinator and the Sr. Database Analyst as necessary in their absence. The ideal applicant will be able to engage and assist a diverse student body and to work efficiently and accurately with various database systems. To this aim, he/she must possess a high level of attention-to-detail as well as excellent analytical, communication, organizational, interpersonal, and customer service skills. It is also important the Program Coordinator be able to be self-directed as well as collaborative to work effectively as a member of the OSS team. Approximately 2 years of related work experience and a high school diploma or equivalent is required.

Duties and Responsibilities

Clinical Clearance and Attestations 90%

  • Routinely monitors Complio to anticipate clinical clearance issues and proactively contact students to ensure they remain up-to-date and compliant on their clinical clearance information
  • Identifies students who fall out of compliance, applies clinical holds to their accounts, and works with the Sr. Database Analyst to take appropriate actions to keep them from attending classes and/or clinicals
  • Reviews clinical clearance exception requests submitted through Complio and liaises with the Sr. Database Analyst and the Student Health Center to provide quick, accurate, and consistent decisions
  • Works with the Student Health Center to make sure they receive all necessary information on SONHS students in order to clear them in their systems
  • Regularly pulls data reports from Complio to update the OSS Microsoft Access database and provides information to SONHS administration when requested
  • Ensures all data in Complio is fresh at all times so the Sr. Database Analyst can pull data reports, process attestations, and transmit information to clinical sites expeditiously, sometimes with short notice
  • Downloads background checks, drug tests, and necessary clinical clearance documents and catalogs then in the I:Drive as needed
  • Uploads required clearance documentation into Complio as needed
  • Responds to clearance-related e-mails sent to the main SONHS@miami.edu address
  • Works with the Sr. Database Analyst to complete and submit all graduate clinical attestations for the SONHS
  • Follows up with clinical agencies, faculty, and preceptors to finalize attestations and address concerns as needed
  • Works with the Sr. Database Analyst, Program Managers, Program Directors, Assistant Dean, and Associate Deans to obtain completed graduate student placements
  • Registers all graduate students for their clinical sections

Data Management 5%
  • Serves as one of the School's main developers and editors of the Degree Progress Report (DPR) for graduate programs
  • Acts as a backup to the Sr. Database Analyst to maintain the schedule of classes in CaneLink, facilitate NursingCAS/CaneLink uploads, process NursingCAS/CaneLink suspense files, generate weekly admission numbers, update plan and subplan codes, and/or perform other data-related activities as necessary in his/her absence
  • Assists the Administrative Assistant with the maintenance of all electronic filing records to ensure all paper records are successfully converted to electronic files and properly uploaded into the I:Drive, Navigate, and OnBase

Student Services Support 5%
  • Serves as backup to the undergraduate student Program Coordinator and the Sr. Database Analyst
  • Proactively seeks new information and generates new solutions to unfamiliar situations
  • Stays abreast of SONHS and University opportunities, policies, and procedures to provide students with accurate information and refer to others as appropriate
  • Answers general phone, e-mail, and in person inquiries and refers to other constituents when necessary
  • Assists with new student onboarding and other SONHS events (e.g., Orientation)
  • Performs other duties as assigned

Knowledge, Skills, and Abilities:
  • Knowledge of Microsoft Office, including Access, Excel, PowerPoint, and Word
  • Knowledge of database systems and current computer technology (experience with NursingCAS and/or PeopleSoft is a plus)
  • Excellent analytical, communication, organizational, interpersonal, and customer service skills
  • High-level attention-to-detail and follow-up skills
  • Outstanding multi-tasking and problem-solving skills to ensure multiple and complex projects are accomplished successfully and on time in a fast-paced environment
  • Ability to enter and verify information, and to manage, clean, and analyze large volumes of data accurately and efficiently
  • Ability to engage and assist a diverse student body and to work closely with faculty, administration, and outside constituents
  • Ability to be self-directed as well as collaborative to work effectively as a member of a team

Education and Experience:

Minimum Qualifications: A high School Diploma or equivalent required. Approximately 2 years of work experience in higher education and/or related technological fields preferred, particularly in database management and administration. Any appropriate combination of education and related work experience, including experience as a student employee, will be considered.
