Job Purpose/Objective

  • Staff in this function are responsible for the development of strategic, client-centric responses to proposals, bids, quotations, or other documents describing employee benefit products and services in response to requests from prospective and current clients.
  • Working under general direction provides insights and guidance to business units when responding to requires for proposals.

Essential Function and Primary Duties:

  • Collaborates closely with proposal team members during initial evaluation phase of proposal opportunities
  • Gathers prospect insights and communicates with engagement team members and proposal team regarding opportunity specifics
  • Serves as a project manager to ensure deadlines are met and process runs smoothly
  • Communicates with all parties to provide routine updates toward project completion
  • Follows existing RFP proposal process to complete proposal
  • Creates new proposal framework through multiple channels for purposes of books & records, tracking and compliance review
  • Reviews proposal opportunity in its entirety and provides a summary/checklist for the proposal team to include actionable items for legal, insurance, IT, compliance, HR, marketing and other subject matter experts (SMEs)
  • Coordinates completion of summary/checklist and communicates with proposal team
  • Creates timeline for proposal completion and schedules engagement team "kickoff call" to begin proposal process, assign duties, discuss fulfillment
  • Coordinates initial "kickoff call" with engagement team
  • Submits draft of the proposal to engagement team and coordinates revisions accordingly
  • Maintains voice and tone consistent with organizational standards
  • Adheres to organizational graphic and branding standards, utilizing existing templates
Project Coordination and Fulfillment:
  • Collects and aggregates edits to provide a clean revision that incorporates proposal best practices
  • Coordinates proposal draft review with compliance, including the provision of supporting documentation for books and records purposes
  • Promotes best of breed content and new assets to be incorporated into the proposal document library
  • Coordinates with marketing and other teams to collect, document, save information to shared repositories on the corporate network

Minimum Qualifications Required

  • Bachelor's degree
  • Proposal writing experience including experience in the insurance or related industry
  • 3 to 5 years of related insurance industry experience including proposal writing
  • Experience with CRMs, Adobe Acrobat, DocuSign, and the ability to quickly learn new platforms
  • Organized, detail-oriented, thorough, and accurate with a strong sense of urgency and ability to prioritize in a fast-paced environment
  • Experience using RFP management and content inventory tool
  • Excellent communication skills, both written and oral
  • Advanced customer service skills
  • Ability to work as part of a team, meet deadlines and take instruction from multiple sources
  • Proactive decision-maker with the ability to see the big picture
