Position Overview: Assist the sales/service staff and outside insurance agents and prospects. Process and maintain contracts and related documents for PSA Sales. Assist in new business setup, renewal documents and non-discrimination testing processes. Ensure complete and accurate information to all internal and external customers.

Essential Responsibilities:

  • Answer multi-line phones in a prompt, professional, and courteous manner, providing accurate and consistent information.
  • Screen calls, take messages, assist walk-in clients, maintain Sales queue, and perform other duties as needed.
  • Perform administrative assistant duties for the Sales/Service staff.
  • Assist callers and take messages when the staff is unavailable.
  • Provide internal support to the Sales/Service staff when they are out of the office for multiple days delegating or completing work that cannot wait until they return to the office.
  • Assist outside agents and prospects with inquiries regarding products and services and other needs within knowledge expertise.
  • Determine laws, policies, regulations and codes that apply to ensure legal compliance and accurate information relayed.
  • Research and resolve agent and group problems, following up within 24 hours.
  • If question not within knowledge base, request assistance from the Sales Representative or Sales/Service staff.
  • Prepare and deliver proposals as directed by Sales Representative and Sales/Client Service Representative(s).
  • Track proposals delivered, sold and lost on RFP log.
  • Review group applications and member applications and obtain missing information prior to initiating setup process and sending to the PSA Enrollment Team.
  • Collect census data from PSHP for shared clients when appropriate.
  • Prepare and deliver rate renewal and plan summaries to clients.
  • Generate letters, memos, reports, and other documents. Ensure consistency, grammar, spelling, accuracy, and style.
  • Prepare group supplies for clients and agents.
  • Assemble new/renewal group packets, enrollment materials, and supplies as requested.
  • Maintain inventory supplies, using established inventory levels, anticipated needs, and supplies lists.
  • Working with Communications, update sales and educational collateral when regulatory changes necessitate.
  • Create, review and maintain department policies and procedures under the supervision of Sales Representative. Assist PSA Business Analyst with production, completion and tracking of plan documents, service agreements and non-discrimination testing.
  • Maintain positive working relationships with groups, agents, and coworkers.
  • Interact with public including agents, group administrators/employers, participants and others.

Supporting Responsibilities:
  • Remain current on PacificSource procedures, policies, and products.
  • Meet department and company performance and attendance expectations.
  • Follow the PacificSource privacy policy and HIPAA laws and regulations concerning confidentiality and security of protected health information.
  • Copy, fax, file, and deliver supplies as needed.
  • Complete special projects, and perform other duties as assigned.
  • Provide backup for staff as necessary.

Work Experience: Minimum of two years of administrative experience. Experience in group health insurance or healthcare-related business with FSA, HRA and/or COBRA administration preferred.

Education, Certificates, Licenses: High school diploma or equivalent required. Associate's Degree in business, healthcare, or related field preferred.

Knowledge:
  • General office skills including typing, filing, copying, faxing, 10-key.
  • Computer skills in Microsoft Office and Windows-based software.
  • Ability to gain knowledge of state and federal laws affecting group health insurance and agents, for example, the ACA and HIPAA.
  • Ability to gain knowledge of PacificSource products, contracts, and workflow.

Environment: Work inside in a general office setting with ergonomically configured equipment. Travel is required approximately 1% of the time.

Physical Requirements: Stoop and bend. Sit and/or stand for extended periods of time while performing core job functions. Repetitive motions to include typing, sorting and filing. Light lifting and carrying of files and business materials. Ability to read and comprehend both written and spoken English. Communicate clearly and effectively.
