Purchasing Specialist

The Purchasing Specialist will perform a wide range of purchasing, office administration, and event support activities. This role follows a hybrid work model that supports a blend of in-office and remote work. Candidates will work in the office 3 days per week on average. The Purchasing Specialist will report to the Associate Director, Research Site Operations.

Responsibilities:

include: Serve as the main point of contact for purchasing requests for the Research Site Operations Department and active Research UnitsProvide administrative support to Research Site Operations team members and Sourcing colleagues on request for qualifications and proposal processesReview quotes and proposals to ensure accuracy, compliance with company policies, and to resolve issues prior to processing within SAP and/or Ariba financial systemsInitiate purchase orders, coordinate on the development of contracts when needed, processe change orders, and manage receiving of supplier invoicesRelinquish and close purchase orders if work has been completed and all invoices have been paidAct as a liaison between the department and the company's (MBS) team on all purchasing, accounts payable, new vendor and account set ups, and issues when they ariseProcesse procurement card transactions in accordance with internal control standards and the Concur expense management systemGenerate and distribute SAP reports to team members for monitoring commitments and invoices for vendors they are actively managingEnsure all department procurement activities adhere to company compliance guidelines and policiesPerform general administrative support duties, such as scanning, copying, filing, data entry, routing of documents for signatures (Docusign), etc.In coordination with the Legal team and company policies, manage vendors responsible for scanning of laboratory notebooks and other scientific data and coordinate with Research Units regularly on the topic to ensure compliance with company policiesOrder office supplies for the department Develop and maintain document management system and governance for the departmentRegularly update and maintain information/documents for the department websiteProvide administrative support for new hire on-boarding and quarterly department-wide meetingsProvide administrative support to the Associate Director on a broad range of strategic projectsRepresent the Research Site Operations team on campus wide committees as assignedProvide administrative, event coordination, and logistics support for events from planning through post event evaluation for specific campus-wide eventsSupport engagement initiatives for the Research Site Operations team such as team outings, learning and development experiences, and other similar opportunities

Who you are:

Minimum Qualifications:

HS Diploma or GED3+ years of administrative work experience

Preferred Qualifications:

Bachelor's DegreeProficiency with Microsoft software (Word, Excel, PowerPoint, Forms)Strong verbal and written communication skills, excellent organizational skills, proficient in Microsoft Office SuiteStrong interpersonal skills necessary to effectively relate with diverse stakeholders including senior leadership, scientists, and colleagues across the campusExercise good judgment and make decisions in a variety of situationsWork well under pressure and handle a wide variety of activities and confidential matters with tact, discretion, and diplomacyTeam player with a track record of developing rapport and credibility with colleaguesFamiliarity and experience with Ariba, SAP, and Concur
