Job Description

The basic functions of a Sample Registration Clerk I are to assist all sample registration personnel with the entry of products/samples submitted to ECT for analytical testing. Maintain storage and discards of submitted products/samples. Maintain glassware, washroom and sample preparative area.

Ensures all duties within the department are handled in a timely manner. Strive for excellence in interpersonal relationships, attention to detail, organizational, and analytical skills. Responsive, independent problem solver and action oriented.

Authority:

The Sample Registration Clerk I receives sufficient authority from, and is accountable to, Sample Registration Manager/Office Manager/Business Unit Manager, or appointed designate, working in conjunction with the laboratory staff and management for the successful completion of assigned duties and responsibilities and has the authority to take action necessary to carry out the duties and responsibilities of this position and to identify the occurrence of departures from the quality system or from the procedures for performing tests and/or calibrations, so long as such action does not deviate from established company guidelines, is consistent with sound technical and business judgment, and follows the practices of the laboratory.

Essential Duties and Responsibilities:

  • Perform the procedures for sample receipt, sorting, and line up according to the guidelines of ECT.
  • Maintain client confidentiality in oral and written communications, regardless of whether on/off site of ECT, as related to ECT confidentiality agreement.
  • Verify information submitted by clients to ensure that it accurately reflects the products(s) supplied by the client for analytical testing.
  • Enter sample testing requests and other pertinent information into the computer system.
  • Responsible to become knowledgeable on GLP, cGMP, DEA, Biohazard, Bloodborne pathogens, Hemp/CBD guidance when necessary as it pertains to sample acceptance, outbound/interco shipping, documentation (training will be provided).
  • Maintain storage of current and retained samples according to the guidelines of ECT.
  • Maintain sample discards and update records according to the guidelines of ECT.
  • Maintain glassware, washroom and sample preparative area with a high degree of cleanliness to prevent cross contamination and comprise of analytical testing performed.
  • Maintain a safe and clean work area and assist others in maintaining a clean, safe work environment.
  • Ensure all work is completed as necessary when co-workers are absent.
  • Manage time in a manner that ensures a high degree of productivity. Ask for additional assignments if time permits or workload is slow.
  • Perform quality work within deadlines with or without direct supervision.
  • Work independently while understanding the necessity for communicating and coordinating work efforts with other employees.
  • Interact professionally with other employees, customers and suppliers.
  • Responsible for answering incoming calls to ECT by responding respectfully, communicating clearly and concisely to clients promoting company image through exercising of sound judgement and ethical business practices. Relay communications from clients to management and staff in a clear and timely manner.
  • Monitor sample registration email account when needed and respond accordingly.
  • Work effectively as a team contributor on all assignments.
  • Promote Lean activities to improve laboratory and office efficiency.
  • Responsible for receiving and verifying supplies/consumables upon receipt from vendors. Updating current purchasing logs for chemicals and consumables accurately according to the guidelines of ECT.
  • Maintain neat and accurate records.
  • Occasionally, may interact with clients to assist in selection of test methods.
  • Performs any other related or unrelated, unassigned, unspecified, unusual or special projects as directed by the Sample Registration Manager/Office Manager/Business Unit Manager or laboratory management from time to time.

  • Qualifications
    • Associate Degree in science or equivalent experience in an office environment.
    • Familiar with all computer Microsoft or comparable operating systems.
    • Good interpersonal, attention to detail, organizational and analytical skills.
    • Good communication skills.
    • Responsive, problem solver and action oriented.
    • Alpha/numeric data entry skills with high throughput entry.
    • Basic understanding of ISO 17025, USDA, FDA and related guidance.
