The Accounts Payable Supervisor is responsible overseeing staff processes to meet team and department goals. This position manages the day-to-day workflow of the Accounts Payable Specialist ensuring the integrity and timely execution of all vendor invoices and payments.

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties and tasks may be assigned.

  • Assess, process, and oversee workflow, handling the daily scheduling of employee breaks and coverage of work stations.
  • Monitor employee's daily performance and productivity. Utilize processes and available tools to analyze trends, maintain and enhance performance, and report statistics.
  • Conduct weekly team meetings. Attend applicable department/management meetings. Keeps team informed of new processes and general updates.
  • Audit and post invoice batches and create/print check batches.
  • Assist with printing and reviewing of checks and ACH payments.
  • Reconcile vendor statements.
  • Manage vendor maintenance database and issue 1099's annually.
  • Act as first point of contact on technical, procedural, and policy questions.
  • Demonstrate ability to identify and recognize issues and provide unique, exception-based, workable resolutions for customers and sales.
  • Maintain effective personnel management and employee relations, including evaluating the performance of all personnel; approving and submitting all hours worked and counseling and disciplining employees.
  • Mentor, coach, and address developmental opportunities and disciplinary issues on the team. Implement corrective action and further development plans as necessary. Use motivational techniques to assist team members in maintaining and exceeding standards.
  • Actively promote GUEST customer service standards; develop effective relationships at all levels of the organization.
  • Assist as needed to perform other related duties and special projects as required.
  • Regular and reliable attendance is required for the job.

QUALIFICATIONS/REQUIREMENTS:

To perform this job successfully, an individual must be able to perform each essential duty satisfactorily.
Requirements include:

  • High school diploma or equivalent. Associate degree in Accounting/Finance preferred.
  • 5+ years of experience in an Accounts Payable role.
  • 2-5 years previous supervisor experience.
  • Experience working in a paperless A/P environment.
  • Experience with Great Plains/MS Dynamics software a plus.
  • Experience and working knowledge of EDI processing a plus.
  • Working knowledge and experience with P-cards a plus.
  • Proficient verbal and written communication skills.
  • Excellent customer service skills and ability to communicate effectively, both verbally and in writing.
  • Must have proficient computer skills, including Microsoft Office (Word, Power Point and Outlook) with Advanced Excel skills; proficiency in USRC applications required within 90 days of hire.
