Join our team as an Accounting Assistant/Data Collection and Research Analyst where you'll work as an accounting assistant for half of the day and the other half of your day as a data collection and research analyst with the Survey of Occupational Injuries and Illnesses (SOII) and the Census of Fatal Occupational Injuries (CFOI) programs under a federal grant with the US Department of Labor, Bureau of Labor Statistics. Accounting Assistant Duties: *

•Enter data into the state accounting system, including but not limited to accounts payable, accounts receivable, fixed assets, and procurement. Run daily financial e-filing reports and receipt registers and verify total amounts match. Balance check receipts to receipt registers.

•Scan and attach all backup documents to vouchers in the state accounting system.

•Enter vendor information into the state accounting system, including Automated Clearing House (ACH) information and/or bank card information.

•Create bank card enrollments on the state banking website and make address changes.

•Facilitate staff compliance with the Nebraska Supreme Court's judicial branch education rules and requirements. Serve as the liaison to the Supreme Court Judicial Branch Education staff. Work with Workday staff to post and update court training videos.

•Register staff for various training and conferences. Make travel arrangements for court staff and maintain travel profiles.

•Maintain office supply inventory and order office supplies, furniture, and equipment. Coordinate supply, furniture, and equipment deliveries.

•Conduct annual court inventory.

•Coordinate special projects and/or events (combined campaign, food bank, etc.), as approved by the Court Administrator or State Personnel.

•Report and coordinate building maintenance issues pertaining to all facilities of the court.

•Open and distribute section mail daily.

Data Collection and Research Analyst Duties: *

•Annually review SOII survey sample options for the next year's survey. Identify and make changes to company addresses, ownership and companies no longer in business to facilitate mass mailings of SOII survey materials by the BLS contracted company.

•Contact SOII survey non-respondents and explain consequences of nonresponse. Collect data by phone if possible.

•Educate employers on Occupational Safety and Health Administration (OSHA) record keeping requirements regarding discrepancies on injury/illness summaries and missing data on SOII surveys.

•Respond to questions from employers regarding OSHA reporting requirements relating to the SOII survey.

•Prepare mass mailing materials following approved mail standards for mailings not conducted by BLS contract printer/mailer.

•Identify erroneous summary data on completed SOII surveys (e.g., average employment, hours worked, recordable versus first aid injury/illness, days away from work, and restricted days). Contact companies and amend surveys to include new or corrected information.

•Identify correct OIICS codes from injury descriptions given by employers for occupation, nature of injury, part of body, source, and event of injury using SOII procedures and manuals. Input correct OIICS codes into the SOII database. Review computer assisted OIICS codes, make corrections as necessary, and mark the case appropriately.

•Complete estimate reviews on each year's survey data using tools (manual and computer) to achieve accuracy of publication quality, meeting reliability standards set by BLS, and maintaining confidentiality in accordance with the Confidential Information Protection and Statistical Efficiency Act (CIPSEA).

•Collect statewide occupational fatality data for CFOI from newspaper clippings, Nebraska Department of Motor Vehicles, Nebraska Workers' Compensation Court First Reports of Injury, death certificates, OSH 36 Form, and other sources. Initiate verbal and written inquiries to coroners, sheriffs, hospitals, and others for information regarding work related fatalities. Identify the correct OIICS code for occupation, nature, part of body, source, and event of fatal injury based on the circumstances of the fatality.

•Analyze requests for information and determine the applicability of BLS and court confidentiality rules. Maintain the standard of confidentiality set by federal guidelines.

•Attend and represent the Court at annual BLS regional and/or national conferences and attend training sessions related to the federal OSHS grant. Travel when required.

Requirements / Qualifications:

Minimum Qualifications:Post high school coursework or vocational education in accounting, finance, business or related field or experience performing accounting functions and/or completion of two years of college or technical course work in data collection and analysis, or related field; experience in researching and evaluating data, collecting and/or verifying data from varied sources (such as phone, email or other methods).

Preferred Qualifications: Experience with the State of Nebraska accounting system is preferred. Experience with spreadsheet software and analyzing numerical data is preferred.

  • Ability to perform basic mathematical calculations using a 10 key calculator or computer number pad.
  • Ability to perform routine accounting functions.
  • Ability to plan, organize, and prioritize individual work assignments and communicate the status of assignments.
  • Ability to prepare, organize, and maintain documentation.
  • Ability to type accurately.
  • Ability to understand and accurately follow complex verbal and written instructions, including ability to take directions by telephone or computer (e.g., email, internet).
  • Ability to work as part of a team and independently.
  • Ability to work on projects with only general supervision.

  • Knowledge of court policies and procedures.
  • Knowledge of customer service and quality assurance principles.
  • Knowledge of general accounting principles and proper fiscal controls.
  • Knowledge of OSHA record keeping guidelines.
  • Knowledge of the federal CFOI program and data collection process.
  • Knowledge of the federal SOII survey and data collection process.
  • Knowledge of the OIICS coding structure.
  • Knowledge of the Quarterly Census of Employment and Wages (QCEW) file.
  • Knowledge of the state's accounting system.

  • Skill in applying general accounting principles and proper fiscal controls.
  • Skill in the use of a computer keyboard.
  • Skill in the use of spreadsheet software.
  • Skill in the use of word processing software.
